JOB DESCRIPTION

Position Title: Administration executive 
Reports to: Associate Manager- Administration 
Business Unit/ Department: Administration 
JOB PURPOSE:
In this central role within our organization, Administration Executive is responsible for overseeing and managing the day-to-day administrative operations of the organization. This role involves coordinating office activities, providing clerical support, managing office supplies, handling communications, and ensuring efficient workflow. The individual will serve as a key point of contact between departments to ensure smooth operations and support the company's objectives.
KEY ACCOUNTABILITIES

Trade Licensing:

  • Ensure the timely renewal of trade licenses and issuance of new licenses in adherence to regulatory timelines
  • Manage the process of canceling licenses and adding activities as needed.
  • Successfully complete the restructuring of companies under Al Khayyat Investments.

Power of Attorney (POA) Arrangements and Memorandum of Association (MOA) Adjustments:

  • Facilitate POA arrangements as requested, ensuring accuracy and adherence to legal standards.
  • Coordinate adjustments to MOAs, working closely with legal and relevant departments to reflect organizational changes.

Permits for Promotions and Events:

  • Secure permits for promotional activities as requested by divisions, ensuring compliance with local regulations.
  • Facilitate the acquisition of permits for events organized by divisions, addressing all necessary requirements and approvals.

Arabic Letters for Governmental Use:

  • Provide Arabic letters as requested by divisions for governmental use, ensuring accuracy and adherence to formal language standards.
  • Maintain a systematic approach to document preparation, keeping records organized and accessible.

Ministry of Health (MOH) Licensing and Regulatory Updates:

  • Assist divisions in obtaining and renewing MOH licenses, ensuring compliance with healthcare regulations.
  • Stay updated on new regulations and communicate relevant changes to divisions, facilitating proactive compliance.

Documentation and Compliance:

  • Maintain accurate and up-to-date documentation related to trade licensing, POA arrangements, MOA adjustments, permits, and governmental letters and keep the TLS up to date.
  • Ensure compliance with all relevant regulations, laws, and internal policies.
